A lot of people are building something like this right now. Different tools, different approaches, same question: how do you get AI to actually understand your business without spending half your day briefing it?
I am not an AI expert. I’m a brand consultant who’s been bumbling through this for 18 months, originally in ChatGPT, now with Claude and Notion. This is just my version. The principles probably work with other tools.
The core idea is preparedness.
Most people use AI reactively. Open it, explain the situation, ask the question. That works. But you’re always starting from zero, always providing context that should already be there.
The Prepared CEO works differently. You build a system that already understands your business. It reads the picture before the conversation starts. You arrive prepared. So does it.
The system runs on six project folders in Claude, one per role: operations, sales, marketing, content, delivery, technology. Each arrives already oriented toward that area of the business. Not deep rules, just a different lens on the same picture.
The second piece is your content.
Not a document you uploaded six months ago. Your actual words, connected live. Website, writing, newsletters, notes. Change something, the system sees it. No downloading, no uploading. Point and read.
You still do the work. You just arrive already knowing what it is.
